ShootTrack (operated by CEYX LTD, “we”, “our”, or “us”) is committed to protecting your personal information. This policy explains what data we collect, how we use it, and your rights regarding that data.
1. Data We Collect
We collect the following information when you use ShootTrack:
- Account information — your name and email address, provided when you register or sign in.
- Emergency contact — an optional emergency contact detail (such as a phone number) that you can add to your profile, shown to estate managers and fellow attendees so they can reach someone on your behalf during a shoot day.
- Location data — GPS coordinates recorded when you log shots during a shoot day. This data is stored against individual activity records and is used solely to display your shot placement on the estate map.
- Microphone audio — when you start shot tracking, the app uses your device’s microphone to detect shotgun blasts and automatically log shots. Audio is processed locally on your device in real time and is never recorded, stored, or transmitted to our servers. Only the resulting shot count, location, and timestamp are saved.
- Shoot activity data — shots taken, kills recorded, dates, drive names, peg numbers, and equipment used.
- Estate and shoot information — estate names, shoot dates, attendee lists, and notes that you or an estate manager enter into the app.
- Device information — basic technical information such as your browser type and operating system, collected automatically to help us maintain and improve the service.
2. How We Use Your Data
We use your data only to provide and improve the ShootTrack service:
- To create and manage your account and shooter profile.
- To display shoot history, activity statistics, and estate maps.
- To send you notifications about shoot invitations, cancellations, and estate membership — only if you have enabled email alerts in your preferences.
- To allow estate managers to organise shoots and view aggregate attendance and activity data.
We never sell, rent, or share your personal data with third parties for marketing purposes.
3. Data Storage and Security
Your data is stored securely on Google Firebase infrastructure hosted in the European Union (europe-west2). Firebase applies industry-standard encryption in transit and at rest.
Access to your data is controlled by Firestore security rules — you can only read and write your own profile and activity data. Estate data is accessible only to managers and members of that estate.
4. Data Retention and Deletion
You can delete your ShootTrack account at any time from the Gear tab in the app. Deleting your account permanently removes your profile and all associated personal data from our systems.
If you remove yourself from an estate or shoot, your attendance record is removed. Historical shoot records and aggregate estate data may be retained by estate managers for the operation of their shoots.

5. Third-Party Services
ShootTrack uses the following third-party services to operate:
- Google Firebase (Authentication, Firestore, Cloud Functions, Hosting) — account management, data storage, and backend operations.
- Google Cloud Platform — application hosting (Cloud Run, europe-west2).
- Google Maps — map rendering for estate and shot visualisation.
- Resend — transactional email delivery for notifications.
Each of these providers operates under their own privacy policies. We share only the minimum data necessary for each service to function.
6. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data via your profile settings.
- Delete your account and all associated data at any time.
- Withdraw consent for email notifications at any time in your preferences.
- Lodge a complaint with the UK Information Commissioner’s Office (ICO) if you believe your data has been mishandled.
7. Microphone and Background Tracking
When you start a shoot tracking session, ShootTrack continues to use your device’s microphone in the background to detect shots, even when your phone is locked or the app is not visible on screen. This is essential to the core function of automatic shot detection during a shoot day.
You can stop tracking at any time by ending the active shoot or by closing the tracking notification. When tracking is not active, the microphone is not in use.
No audio recordings are ever made or stored. The microphone audio is analysed locally on your device in real time and discarded.

9. Changes to This Policy
We may update this policy from time to time. When we do, we will update the effective date at the top of this page. Continued use of ShootTrack after changes constitutes acceptance of the updated policy.
